Virtual Estimator & Operations Coordinator

Join the team as a Virtual Estimator & Operations Coordinator, where you’ll play a dual role in driving project accuracy and operational excellence. You will be the architect of the quoting process, using your technical expertise to turn leads into detailed project schedules and high-quality results for our clients. Schedule:

  • 8:00 AM - 5:00 PM, Sydney

Responsibilities:

  • Manage the end-to-end estimating process, from reviewing incoming leads and photos to preparing detailed, accurate quotes for insurance rectification projects.
  • Conduct detailed takeoffs, scope out project milestones, and apply current industry rates and material costs to ensure competitive pricing.
  • Become the company expert in our job management software (Ascora), optimizing its features for trade management, scheduling, and reporting.
  • Translate accepted quotes into detailed job cards, project schedules, and task-oriented sheets within Ascora for seamless project execution.
  • Develop and document Standard Operating Procedures (SOPs), checklists, and job templates to standardize workflows and create a scalable operational framework.
  • Provide administrative and research support for our new retail renovation division, including preparing initial estimates and organizing marketing materials.
  • Systematically follow up on submitted quotes to improve conversion rates and gather client feedback.
  • Collaborate directly with the owner to refine quotes, finalize margins, and ensure alignment on project specifics.

Requirements:

  • Proven experience in construction estimating, quantity surveying, or a similar role within the building/construction industry.
  • Demonstrated proficiency with construction management or job management software; direct experience with Ascora is highly advantageous.
  • Strong ability to interpret project information, including photos, plans, and limited briefs, to create a detailed scope of work.
  • Excellent organizational skills with a knack for creating, documenting, and implementing efficient systems and processes.
  • A proactive and autonomous work ethic, with the ability to manage a high volume of tasks and meet deadlines with minimal supervision.
  • Strong research skills to accurately determine material and labor costs.
  • Excellent written and verbal communication skills for effective collaboration.
  • Experience with accounting software like Xero is a plus.
