Join our team as a Spanish Bilingual Scheduler Administrator to bridge the gap between clients and essential care. You will play a pivotal role in managing high-volume scheduling, maintaining accurate case documentation, and providing professional bilingual support in a fast-paced environment.

Responsibilities
- Schedule and coordinate client appointments using Ensora Health (TheraNest), including updating session details and assigning therapists
- Enter and maintain accurate client information, including contact details, referral types, and session specifics
- Communicate appointment details through scheduling emails and TheraNest text reminders
- Update MyCase and PIDB with confirmed session information and convert leads into active cases as required
- Conduct afternoon confirmation calls for next-day appointments using approved scripts
- Organize and manage call lists by language and maintain clear, detailed call notes
- Professionally handle inbound calls related to appointment changes, cancellations, treatment status inquiries, medical records requests, and subpoena-related questions
- Accurately document all interactions and escalate issues following established procedures
- Support scheduling and administrative operations as needed
Requirements
- Fluent in both Spanish and English, written and verbal
- Previous experience in scheduling, customer service, medical administration, or call center support preferred
- Experience using scheduling or case management platforms such as Ensora Health (TheraNest) and MyCase is highly preferred
- Strong communication and phone handling skills
- Ability to professionally manage inbound and outbound calls
- Excellent organizational skills and attention to detail
- Comfortable handling appointment coordination, confirmations, and schedule adjustments
- Ability to document accurate notes and maintain updated client records
- Strong multitasking skills in a fast-paced environment
- Experience working with law firms, clinics, or healthcare-related scheduling is a plus
- Proficient in Microsoft Office, Google Workspace, and CRM systems
- Reliable internet connection, headset, and quiet work environment
- Ability to work independently while maintaining professionalism and empathy with clients and partners
