Job Overview
This is a part-time operational admin role focused on invoice management, meeting coordination, member onboarding, and general administrative support. The ideal candidate will be multi-talented with strong customer service skills, capable of managing multiple administrative functions including QuickBooks invoicing, meeting setup, and member communications.
This role requires proactive communication, attention to detail, and the ability to work independently while coordinating with a team that meets weekly on Thursdays at 10:00 AM Central Time.
Work Schedule: 20hrs per week, Mon - Fri 9:00 AM - 1:00 PM | Central Time
Responsibilities

Process and distribute member invoices through QuickBooks and Active Campaign, working toward automation of annual invoicing and monthly payment options.

Coordinate monthly meetings including venue communications, setup logistics, meeting invitations, PowerPoint preparation, and follow-up tasks.

Onboard new members by scheduling and coordinating information sessions, sending meeting links, and ensuring prospective members receive proper communication.

Manage general administrative tasks including email correspondence, calendar management, documentation, file organization, and research.

Attend weekly team meetings and occasional monthly member catch-up sessions during the initial onboarding period to learn organizational structure.

Enter member data into Active Campaign system and maintain accurate records across platforms.

Liaise professionally with venues, team members, and external contacts via email and occasional phone communication.
Requirements

Proven experience in general administrative support with strong organizational and multitasking abilities.

Proficiency in QuickBooks for invoicing and basic bookkeeping tasks.

Excellent communication skills with customer service background for professional member and vendor interactions.

Strong computer skills including Google Sheets, Microsoft Office, and PowerPoint presentation preparation.
