Job Overview
Our client is looking for a highly organized Technical Works Scheduler to support their Australian-based Field Scheduling Specialist. In this role, you will be the administrative backbone of field delivery operations, ensuring that technician bookings, contractor documentation, and job pipelines run smoothly and accurately. This is a support role within established processes—you will work alongside an experienced operations team to ensure hardware installations are delivered on time for retail clients.

Schedule
Monday - Friday, 8:00 AM - 5:00 PM AEST (40 work hours per week)
Responsibilities
Job Booking Support
- Review incoming installation jobs against criteria to confirm they are ready for scheduling
- Assist with booking and confirming field technician appointments across retail store locations
- Maintain accurate job records across Zendesk and Asana
- Flag scheduling conflicts, incomplete job information, or missing site details to the Field Scheduling Specialist
Statements of Work (SOW) Management
- Prepare SOWs for contractor engagements using approved templates
- Ensure all required information (scope, dates, deliverables) is captured before a job is booked
- Track SOW completion and follow up on outstanding sign-offs from contractors
Workload & Capacity Monitoring
- Assist in reviewing current contractor workload against the forward schedule
- Highlight potential capacity gaps, availability conflicts, or regional coverage issues
- Keep the pipeline view current so the team always has an accurate picture of upcoming jobs
General Coordination Support
- Send booking confirmations, job briefs, and site access instructions to contractors
- Follow up on job completions and flag any installation issues to the relevant team member
- Support the team with administrative tasks, reporting, and data entry as directed
Requirements
- 3+ years of experience in a scheduling, administration, dispatch, or coordination support role
- Strong written and verbal English—clear, professional communication is essential for liaising with Australian-based teams, contractors, and retail clients
- Comfortable liaising with field technicians and client store representatives via telephone
- Familiarity with Zendesk, Asana, or similar ticketing/project management tools
- Highly organized with strong attention to detail, even across a busy and varied workload
- A team player who follows processes well and communicates proactively when something isn’t right
- Experience supporting an Australian or international business remotely is a plus
