Our client is looking for a trusted liaison to manage calendars, correspondence, travel, events, and personal tasks. Your support will allow the executives to focus on strategic priorities, knowing that operational and personal matters are handled seamlessly. You will act as a key point of contact across teams, stakeholders, and external partners, ensuring that both business and personal obligations are met with high efficiency.

Flexible during client business hours (Australian Eastern Time) (40 hours per week)
Responsibilities
- Executive & Administrative Support: Manage complex calendars; screen, prioritize, and draft email correspondence; prepare reports and presentations; and ensure executives are briefed ahead of meetings.
- Operations & Organisation: Assist with expense tracking, invoicing follow-ups, and subscription management; maintain digital files; and act as the “follow-through engine” for all tasks.
- Travel & Event Coordination: Plan domestic and international travel itineraries; organize business events and private functions; and manage guest lists, RSVPs, and catering logistics.
- Personal & Lifestyle Support: Manage personal appointments and household logistics (medical, home maintenance, deliveries, and renovations); support personal errands and gift sourcing.
- Project Support: Assist with strategic initiatives and special projects requiring discretion and proactive problem-solving.
Requirements
- Minimum 5 years’ experience in an Executive Assistant or Personal Assistant role supporting senior executives or C-suite leaders.
- Strong planning, organization, prioritization, and problem-solving skills.
- Highly proficient with Microsoft Office, Google Workspace, and calendar management tools.
- Exceptional written and verbal communication.
- Ability to handle confidential and sensitive information with discretion and professionalism.
- Experience managing multiple stakeholders and competing priorities in fast-moving environments.
Qualifications
- Previous experience supporting Australian executives is preferred.
