Caregiver Scheduling Coordinator

As a Virtual Care Coordinator, you will act as the essential link between caregivers and clients, ensuring seamless service delivery and high-quality coordination during critical hours.

Schedule:

  • Fridays: 2:00 pm to 11:00 pm CST (with 1-hour lunch break)
  • Saturdays: 6:30 pm to 11:00 pm CST (with 30-minute break)
  • Sundays: 2:00 pm to 11:00 pm CST (with 1-hour lunch break) as needed
  • Mondays: 2:00 pm to 11:00 pm CST (with 1-hour lunch break)
  • Tuesdays: 2:00 pm to 11:00 pm CST (with 1-hour lunch break)
  • Wednesdays and Thursdays: Day Off

Philippine Time Reference:

  • Fridays: 4:00 AM – 1:00 PM
  • Saturdays: 8:30 AM – 1:00 PM
  • Sundays (as needed): 4:00 AM – 1:00 PM
  • Mondays: 4:00 AM – 1:00 PM
  • Tuesdays: 4:00 AM – 1:00 PM

Responsibilities

  • Scheduling: Coordinate and schedule open client jobs by assigning the most appropriate Caregiver to each task.
  • Database & Reporting: Maintain the scheduling and reporting system, ensuring accuracy and timely follow-up on late Caregivers.
  • On-Call Rotation: Participate in an after-hour on-call phone rotation once every 3-4 weeks.
  • Additional Duties: Perform other tasks as assigned, including handling office communications and administrative support.

Requirements

  • Experience: Minimum of one year in an office, customer service, or similar setting. Experience in the healthcare or service industry is preferred.
  • Scheduling & Software: Proficiency in scheduling, particularly using specialized software for caregiver schedules (WellSky or ClearCare). Will train to use WellSky.
  • Computer Skills: Basic knowledge of computer operations, including data entry, word processing, and expertise in Excel or other relevant tools.
  • Communication: Excellent verbal and written communication skills, with a professional demeanor both on the phone and in person. You must answer phone calls in 2-3 rings and should be ready to join video calls anytime during the scheduled work hours without any prior notice. Experience in intake phone calls, cold calling and sales calls is preferred.
  • Organizational Skills: Strong organizational abilities, attention to detail, and the capacity to prioritize tasks effectively.
  • Multitasking: Proven ability to manage multiple tasks and responsibilities efficiently.
  • Flexibility: Ability to work evenings, weekends, and on-call shifts as required.
  • Dependability: Must demonstrate reliability, proactive, self-driven, and a positive, "go-getter" attitude.
  • Adaptability: Willingness to learn new software and processes as needed.
