Job Overview
As a Bilingual Property Management Assistant, you will serve as the first point of contact for tenants, vendors, and stakeholders, ensuring smooth day-to-day operations across property management and maintenance functions. This role combines customer service, administrative support, and coordination responsibilities, requiring strong communication skills in both English and Spanish. You will play a key role in managing work orders, maintaining accurate property records, and supporting tenant and vendor communication to ensure efficient property operations.
Schedule
- Monday through Friday, 9-6pm with 1 hour break EST
Responsibilities
- Serve as the primary point of contact for all inbound calls, ensuring tenants, vendors, and other stakeholders receive prompt and professional assistance
- Follow up on work orders and coordinate with vendors to ensure timely completion of maintenance and repair requests
- Enter and set up new properties in the property management system, maintaining accurate and up-to-date records
- Communicate with tenants regarding vendor visits, scheduled maintenance, and other property-related updates in both English and Spanish
- Handle day-to-day administrative tasks such as contacting utility companies, processing routine inquiries, and managing correspondence
- Answer calls under both the property management company and the affiliated maintenance LLC, following provided scripts and guidelines
- Monitor and reply to company email inbox
- Assist with delinquency communications
- Collect and Verify Rental Application information
Requirements
- Fluent in both English and Spanish with the ability to communicate clearly and professionally in both languages
- Experience in property management administration or a strong understanding of tenant move-in/move-out processes and general property operations
- Familiarity with AppFolio or similar property management software is preferred
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
- High level of attention to detail and accuracy in data entry and record-keeping
- Reliable, professional demeanor with a positive attitude and strong work ethic
