Administrative Assistant - Electrical Service

Work Schedule: 40hrs per week, Monday - Friday, 8am - 5pm with 1 hour unpaid break | Australian Eastern Time 

Key Responsibilities

  • Process all incoming work requests from email into ServiceMate daily, gathering required job information and photos before scheduling

  • Manage the complete appointment lifecycle including booking, confirmations, reminders, and rescheduling across the electrician's calendar

  • Proactively follow up with customers who haven't responded or provided necessary information to keep jobs moving forward

  • Coordinate with the electrician after initial site visits to prepare and send quotes for additional work identified

  • Process and send invoices for completed jobs promptly, then track and follow up on outstanding quotes to convert them to booked work

  • Handle all customer communications via email and phone with a professional, appropriate tone suited to diverse clientele

  • Maintain accurate records of job status from initial contact through final payment in ServiceMate

  • Communicate with the electrician via Google Chat or phone to clarify job details when notes are incomplete

  • Manage relationships with key commercial clients like appliance retailers to ensure consistent service delivery

  • Document all administrative workflows and create Standard Operating Procedures using screen recording software to build a comprehensive knowledge base

Requirements

  • Proven experience in administrative roles, preferably supporting trades or service-based businesses

  • Experience with job management or CRM software (ServiceMate experience is a plus, but willingness to learn is essential)

  • Comfortable making outbound calls to customers for follow-ups, information gathering, and relationship building 

  • Tech-savvy with ability to quickly learn new software systems and tools

  • Experience creating process documentation or SOPs is highly valued

  • Begin with comprehensive knowledge transfer using screen recording to document current processes while learning the role

  • Develop and maintain Standard Operating Procedures for all administrative workflows to create business resilience

  • Establish systematic daily routines for processing new work requests, sending confirmations, and following up on outstanding items

  • Build rapport with the appliance retailer commercial partner and maintain that key relationship professionally

  • Utilize ServiceMate's phone assistant features effectively to streamline call handling

  • Proactively identify opportunities to improve administrative efficiency and suggest process enhancements

  • Maintain confidentiality of customer information and business operations

  • Potentially assist with basic social media content scheduling as the role evolves

  • Be prepared to start as soon as possible - the business needs this support urgently
