As a Legal Administrative Assistant, you will support the preparation of legal documents, manage client communications, and maintain organized records. Monday - Friday, 09:00 AM - 01:00 PM Australian Western Standard Time (20 hours per week)
Responsibilities
- Legal Documentation & Drafting: Prepare and amend legal correspondence based on client circumstances; draft pre-action procedure letters and disclosure schedules; send out pre-action questionnaires to new clients; ensure all documents meet required legal standards and formatting.
- Client Communication & Follow-ups: Monitor and follow up on client emails; maintain professional and timely communication; support client onboarding processes through documentation and correspondence.
- Data & Record Management: Maintain and update asset and liability schedules using templates; ensure all records are accurate, complete, and well-organized; manage document storage and version control.
- Process Improvement & Systems: Assist in creating and documenting standard operating procedures (SOPs); expand and maintain template libraries within Smokeball; support continuous improvement of workflows and documentation systems.
Requirements
- 3–5 years of experience in legal administration or as a paralegal.
- Experience with legal practice management software (Smokeball preferred).
- Strong attention to detail, particularly in drafting and documentation.
- Ability to handle repetitive tasks with high accuracy.
- Excellent written communication skills.
- Ability to work independently and manage workload effectively.
