Senior Medical Intake Nurse Receptionist
You’ll be the first point of contact for patients seeking life-changing mental health treatment, playing a crucial role in their healing journey. As the initial greeter for every patient consultation, you’ll provide compassionate care to individuals who often have tried everything else and are looking for hope. You’ll work with cutting-edge proprietary telehealth technology while being part of a close-knit team that’s making a meaningful impact on mental health care.

In addition to delivering exceptional patient care, this senior-level role includes leadership responsibilities, where you will guide and support a team of intake specialists to ensure consistent, high-quality patient experiences and operational excellence.
Schedule
Saturday to Wednesday from 7:00 am to 4:00 pm Miami, FL time with one hour of unpaid break (8 hours per day, 40 hours per week)
Schedule would be agreed and modified in collaboration with the client.

Responsibilities
Core (Individual Contributor) Responsibilities
- Serve as the first point of contact greeting all patients during telehealth consultations
- Conduct comprehensive medical intake procedures for mental health patients
- Review and verify patient government identification documents
- Perform thorough medication history reviews and assessments
- Combine patient medication history with current state evaluations
- Provide empathetic, compassionate care to patients with complex mental health histories
- Deliver exceptional patient experiences through telehealth platform interactions
- Support patients who may have tried multiple treatments and have challenging backgrounds
- Ensure efficient patient flow to minimize wait times and optimize care delivery
- Work collaboratively with clinical team to maintain high-quality patient care standards
Leadership & Senior-Level Responsibilities
- Manage and support a pod/team of approximately 8–10 intake specialists, ensuring alignment with clinical and operational standards
- Monitor team performance and KPIs, providing regular feedback and coaching to maintain high-quality patient care and efficiency
- Lead onboarding, training, and retraining initiatives for new and existing team members
- Handle scheduling gaps, absences, and coverage planning to ensure uninterrupted patient service
- Identify underperformance and implement performance improvement plans (PIPs) with clear action steps and follow-ups
- Act as the first escalation point for complex patient cases, complaints, or operational challenges
- Promote best practices and standardization across the team to ensure consistency in patient experience
- Collaborate with leadership and cross-functional teams (clinical, operations, QA) to improve workflows and patient outcomes
- Maintain partial IC responsibilities, stepping in to handle patient consultations as needed during high-volume periods
- Foster a supportive, empathetic team culture, especially given the sensitive nature of mental health care
- Drive continuous improvement initiatives based on team insights, patient feedback, and performance data
Requirements
- Active Registered Nurse (RN) license (preferred) or Medical Assistant certification
- Healthcare or medical background with direct patient care experience
- Strong communication and interpersonal skills for telehealth interactions
- Experience with customer service or patient relations
- Demonstrated empathy and ability to connect with patients struggling with mental health issues
- Comfort delivering compassionate care through video/telehealth platforms
- Proficiency with Chrome browser and computer technology
- Ability to work flexible shifts including evenings, weekends, and various time slots
Additional Requirements for Senior Role
- Proven experience in team leadership, supervision, or people management
- Strong coaching, mentoring, and performance management skills
- High level of emotional intelligence and conflict resolution ability
- Experience handling performance improvement plans (PIPs) or similar processes
- Ability to balance individual contributor work with leadership responsibilities
- Strong organizational and decision-making skills in a fast-paced environment
Nice to Have
- Experience with mental health or psychiatric nursing
- Telehealth or remote patient care experience
- Medical Assistant certification as an alternative qualification
