Customer Admin Support

Job Overview

Our client is seeking a versatile Customer Admin Support to ensure seamless customer service and robust administrative operations. This role is a hybrid of high-touch customer interaction and back-end organizational support. You will be the professional voice of the company—handling inquiries, resolving concerns, and managing overdue accounts—while simultaneously maintaining the data integrity and documentation that keeps the business running smoothly.

Schedule

  • Monday - Friday, 8:30 AM - 4:30 PM Brisbane Time, including a 30-minute paid break (40 work hours per week)

Responsibilities

  • Maintain accurate customer databases; prepare documentation for contracts and agreements; generate reports and compile data for team analysis.
  • Handle incoming calls with exceptional etiquette; provide accurate information to customers; and maintain detailed logs of all interactions.
  • Respond promptly to customer concerns via email and phone; provide clear explanations of company policies; and collaborate with internal teams to resolve complex issues.
  • Contact customers regarding overdue invoices and outstanding balances; maintain a professional and empathetic tone while negotiating payment arrangements or addressing billing discrepancies.
  • Update CRM records with payment statuses, follow-up dates, and detailed notes to ensure the team is always informed of a customer's status.

Requirements

  • Proven experience in customer service, administrative support, or call center operations.
  • Skilled in using Microsoft Office Suite and Customer Relationship Management (CRM) software.
  • Excellent verbal and written communication with a high level of professional phone etiquette.
  • Ability to handle challenging customer interactions and resolve issues with a solutions-oriented mindset.
  • Detail-oriented with the ability to multitask, prioritize tasks, and ensure documentation accuracy.

Qualifications

  • Ability to work independently while contributing effectively to a collaborative team environment.
  • Strong time management skills to handle both live call volume and administrative deadlines.
  • Comfort in managing sensitive financial conversations regarding overdue payments.
