Job Overview
We are seeking a detail-oriented Executive Assistant to manage multiple email inboxes, coordinate calendars, and provide administrative support across various business operations. This is a part-time role with strong potential to transition to full-time based on performance and workload requirements. The ideal candidate will help streamline communications, improve efficiency, and allow the executive to focus on high-priority business development activities.
Schedule
- Mon-Fri 6:00 AM - 10:00 AM EST; 4hrs per day
- Initial part-time arrangement with potential to move to full-time (8 hours/day) if workload requires.
Responsibilities
- Manage and monitor multiple email inboxes across different business entities, filtering and prioritizing messages based on importance and urgency.
- Provide daily briefings at approximately 8:30 AM EST to review priority emails, required responses, and action items.
- Draft and prepare email responses for review and approval.
- Coordinate and manage calendars across multiple business ventures, scheduling appointments and meetings efficiently.
- Utilize AI tools and technology to enhance productivity and workflow management. Coordinate with property management companies regarding Airbnb operations as needed.
- Handle administrative tasks related to summer camp businesses during relevant seasons.
- Maintain strict confidentiality and security protocols when handling sensitive business information.
Must-Have Requirements
- 2-5 years of experience as an Executive Assistant, Virtual Assistant, or similar administrative role.
- Proven experience managing multiple email accounts and complex calendars simultaneously.
- Excellent written and verbal communication skills.
- Strong organizational skills with ability to prioritize tasks independently.
- Proficiency with Microsoft Outlook and standard business productivity tools.
- Ability to work during 6:00 AM - 10:00 AM EST hours consistently.
Nice-to-Have Requirements
- Experience using AI tools to enhance administrative efficiency.
- Background working across multiple industries including sales, hospitality, or recreation.
- Familiarity with property management coordination or Airbnb operations.
- Experience with VPN and secure browser technologies.
