Spanish Bilingual Sales & Administrative Assistant

  • Position Overview

    As a Sales & Administrative Assistant, you will support the day-to-day operations of a growing residential cleaning company by handling customer inquiries, scheduling appointments, managing follow-ups, and assisting with general administrative tasks. This role is ideal for someone with strong communication skills, a customer-service mindset, and the ability to stay organized in a fast-paced environment.

    The position will initially focus on customer communication, scheduling, and sales follow-ups, with long-term growth potential into a broader operations or management role for the right candidate.

    Schedule

    • Full-time (35 hours per week)
    • During the initial training period: 10 AM start time
    • Post-training period: Business hours begin at 8 AM Pacific Time
    • Includes a 1-hour unpaid break

    Responsibilities

    • Answer incoming customer calls and provide cleaning service quotes using the company’s intake form
    • Schedule, reschedule, and manage customer appointments using the company’s scheduling software
    • Follow up with warm leads through calls and messages to convert inquiries into booked appointments
    • Maintain accurate records of leads, bookings, and customer information using Google Sheets and company systems
    • Provide friendly, professional, and customer-focused communication that reflects the company’s brand
    • Support daily administrative and operational tasks as needed
    • Assist with calendar management and coordination of cleaning appointments for field staff
    • Build rapport with customers and maintain a positive client experience throughout the booking process

    Requirements

    • Previous experience in customer service, sales support, virtual assistance, scheduling, or administrative roles
    • Strong verbal and written English communication skills with a professional phone presence
    • Spanish bilingual skills are a plus but not required
    • Comfortable handling phone-based customer interactions and follow-up tasks
    • Proficient with Google Workspace tools such as Gmail, Google Sheets, and Google Calendar
    • Strong organizational skills and attention to detail
    • Ability to multitask and adapt in a fast-paced work environment
