Recruitment Operations & AI Integration Specialist

Overview

Join a specialist UK accountancy recruitment firm as a high-level Recruitment Operations Assistant, where you will manage critical operational processes with precision and ownership. This is a sophisticated role for a detail-driven professional to support senior stakeholders and ensure the highest standards of data integrity and communication in a fast-paced environment.

Schedule

Full-Time - 40h per week - Monday to Friday 8am to 5pm (GMT time zone)

Responsibilities

CRM & Data Management

  • Maintain highly accurate and well-structured candidate and client records within the CRM system
  • Capture and record detailed information including contact details, employment history, notes, and supporting data
  • Ensure absolute accuracy across all records, including sensitive personal information
  • Regularly audit, cleanse, and enhance data to maintain a high-quality database

Client & Contact Database Management

  • Research and add new accountancy firms and key contacts to the CRM
  • Update records to reflect mergers, structural changes, and role movements
  • Enhance records with complete and accurate data, ensuring consistency and usability

Job & Candidate Management

  • Add and manage job records with full accuracy and structure
  • Identify and source relevant candidates for live roles
  • Maintain organised, up-to-date pipelines with clearly documented activity

Interview Coordination

  • Arrange interviews (virtual and in-person) with precision and efficiency
  • Issue clear, well-presented, and professionally written interview confirmations
  • Ensure all communications are accurate, timely, and structured to a high standard
  • Maintain complete and accurate interview tracking within the CRM

Client & Candidate Communication

  • Communicate confidently with senior stakeholders including Partners, Directors, and senior finance professionals
  • Produce written communication that is exceptionally well-presented, precise, and professional
  • Consistently represent the business to a high standard in all interactions

Diary & Workflow Management

  • Manage scheduling and diary coordination with accuracy and foresight
  • Proactively arrange calls, follow-ups, and key meetings
  • Ensure all communication and actions are completed without delay or oversight

Email Marketing & Candidate Distribution

  • Format and present candidate profiles to a high standard within Brevo
  • Distribute profiles to relevant clients based on geography and suitability
  • Ensure all communications are accurate, targeted, and professionally presented

Requirements

  • Fluent English with excellent written and verbal communication
  • Degree-level education preferred
  • Proven experience in a high-detail administrative, recruitment, or operations role
  • Exceptional attention to detail and accuracy
  • Ability to work independently with minimal supervision
  • Strong organisational and time management skills
  • Confidence communicating with senior professionals
  • High levels of professionalism, reliability, and accountability Technical Skills
  • Strong experience using CRM systems
  • Advanced proficiency in Microsoft Office, particularly Excel (essential)
  • Ability to work efficiently across all Microsoft Office applications
  • Experience using LinkedIn and online research tools
  • Experience with email marketing platforms such as Brevo (essential)

AI Capability (Required):

  • Confident and practical use of AI tools in day-to-day work
  • Ability to utilise AI for:
    • Data analysis and interpretation
    • Drafting and refining professional communication
    • Improving efficiency and supporting workflow processes
  • Must demonstrate applied, real-world use of AI beyond basic content generation Performance Expectations

  • Ensure all interviews are arranged, confirmed, and communicated to a high standard
