Executive Assistant | Sales Navigator

Job Overview

Our client is looking for a highly organized and proactive Executive Assistant to support a busy executive with day-to-day administrative operations. This role is ideal for someone detail-oriented, tech-savvy, and comfortable working in a fast-paced environment. You will play a key role in ensuring smooth scheduling, efficient communication, and streamlined workflows while also supporting outreach and data management initiatives.

Client Overview

Our client is a venture capital firm focused on backing early-stage technology companies across Southeast Asia. Their team works closely with founders to help scale high-growth businesses, providing not just capital but also strategic guidance, operational support, and access to a strong regional network.

Schedule

  • Monday - Friday, Flexible during Singapore business hours (20 work hours per week)

Responsibilities

  • Manage and coordinate executive calendar, including scheduling meetings and organizing travel itineraries
  • Handle email inbox management, ensuring timely responses and follow-ups
  • Support founder outreach by building and maintaining lead lists using Sales Navigator
  • Perform data entry, including importing/exporting data across spreadsheets and CRM systems
  • Utilize AI tools (e.g., ChatGPT, Claude) to streamline administrative workflows and improve efficiency
  • Maintain organized records and ensure accuracy across scheduling and data management tasks

Requirements

  • Proven experience as a Personal Assistant or Executive Assistant
  • Strong proficiency in Excel and spreadsheet management
  • Experience with lead generation tools such as Sales Navigator
  • Familiarity with AI tools (e.g., ChatGPT, Claude) for productivity and workflow support
  • Close attention to detail with excellent organizational skills
  • Professional written and verbal communication skills
  • Experience supporting founders, executives, or investors
  • Background in startups, venture capital, or tech environments
  • Familiarity with CRM systems and automation tools
