Role Overview

We are seeking a proactive Appointment Setter / Customer Support VA to manage inbound inquiries and drive lead conversion through structured follow-ups.

This role combines customer support and sales outreach, ensuring all leads are engaged, nurtured, and converted into booked appointments.

Schedule: 

Part time - 20h per week - Monday-Thursday: 5-9pm & Sunday: 1-5pm - GMT

Working Hours: Aligned with UK business hours


Key Responsibilities

  • Respond to inbound inquiries from parents and clients in a timely and professional manner
  • Conduct outbound calls to new leads and book appointments
  • Maintain and update lead tracking spreadsheets to ensure no missed follow-ups
  • Manage and optimize CRM workflows (Go High Level)
  • Follow up consistently with leads across different stages of the pipeline
  • Resolve client questions and concerns to maintain high satisfaction
  • Support the improvement of lead conversion processes
  • Collaborate with the business owner on priorities and reporting

Requirements

  • Experience in appointment setting, outbound sales, or lead generation
  • Strong English communication skills (written and verbal)
  • Familiarity with CRM systems and lead management workflows
  • Highly organized with strong follow-up discipline
  • Attention to detail when tracking leads and updating records
  • Ability to manage multiple conversations and follow-up sequences
  • Friendly and professional communication style

Highly Regarded Skills & Experience

  • Experience working with Go High Level CRM
  • Background in education, coaching, or service-based businesses
  • Experience handling parent or client communications
  • Understanding of sales funnels and lead nurturing strategies
  • Experience with reporting and conversion tracking

Scope

  • Act as the primary point of contact for inbound customer inquiries
  • Drive appointment bookings through outbound and follow-up efforts
  • Manage CRM workflows and lead pipelines
  • Maintain accurate tracking of all leads and interactions
  • Work closely with the business owner to improve conversion rates
