Bilingual Personal Injury Case Coordinator

Job Overview

Our client is looking for a professional to work directly with their Personal Injury manager to address all matters related to Personal Injury patients. This includes, but is not limited to, managing new patients, referrals, authorizations, and maintaining clear communications with attorneys and staff.

Schedule

  • Monday - Friday, 8:30 AM - 5:00 PM (Monday-Thursday) and 8:15 AM - 3:00 PM (Friday) PST, with 30-min. unpaid break (38 work hours per week)

Responsibilities

Patient Coordination (New Patients & Follow-ups)

  • Receive referrals, send screening questions/follow-ups, and create patient charts with uploaded records/imaging.
  • Add patients to trackers and schedule initial appointments, follow-ups, and MRI reviews.
  • Send confirmation emails/forms and manage waitlists for unreachable patients.
  • Coordinate with case managers, request interpreters, and follow up after three contact attempts.

Emails & Communication

  • Manage correspondence for billing and medical record requests.

Other tasks

  • Manage approvals for ancillary services and coordinate with attorney offices.
  • Handle order management, including referrals, MRI orders/scripts, and service requests.
  • Coordinate with Allied and Trinity for procedure scheduling.
  • Update trackers, Tebra alerts, JotForms, and upload approvals.
  • Communicate treatment updates, billing, reports, and lien-related matters.
  • Coordinate scheduling for procedures, NP follow-ups, and depositions.
  • Provide Spanish translation support and maintain spreadsheets.

Requirements

  • Must complete an assessment.
  • Must have an extra monitor and Adobe access.
  • 2+ years of experience working with law firms and EHR systems/scheduling.
  • 5+ years of general office experience.
  • Intermediate Microsoft Office 365 skills (Word, Excel, Teams, Outlook).
  • Proficient in handling multiple phone calls (2–3 at a time).
  • Fluent spoken English and Spanish.
  • Reliable, self-starter with strong customer service, listening, organization, and time management skills.
  • Able to work independently and remotely and follow client policies.
