Job Overview
Our client is looking for a reliable, proactive, and highly organized Administrative Assistant to support their US-based operations on a part-time basis. In this role, you will be the backbone of their day-to-day administrative functions — keeping things running smoothly, professionally, and on time. This is a flexible role with the key requirement of being available for a 2 to 3 hour daily overlap with New York business hours to ensure seamless communication and collaboration with the team.
Schedule
- Monday - Friday, Flexible — with 2 to 3 hours daily overlap during New York business hours (EST) (20 to 30 work hours per week)
Responsibilities
Email & Calendar Management
- Monitor, organize, and respond to emails on behalf of the team in a timely and professional manner
- Manage and maintain calendars, scheduling meetings and appointments across multiple time zones
- Send reminders, follow-ups, and confirmations to ensure nothing falls through the cracks
Data Entry & Reporting
- Accurately input, update, and maintain data across internal systems and spreadsheets
- Assist in compiling and formatting reports, trackers, and dashboards as required
- Conduct basic research and present findings in a clear and organized format
Customer Support
- Serve as a point of contact for client and customer enquiries, responding promptly and professionally
- Escalate complex issues to the appropriate team members while maintaining a positive client experience
- Maintain organized records of customer interactions and follow-up actions
Document Preparation
- Draft, format, and proofread documents, correspondence, and presentations to a high standard
- Organize and maintain digital filing systems to ensure documents are accessible and up to date
- Assist in preparing meeting agendas, minutes, and action items
Travel & Scheduling Coordination
- Support the coordination of travel arrangements including flights, accommodation, and itineraries
- Prepare detailed travel schedules and ensure all logistics are confirmed and communicated in advance
- Assist with expense tracking and reconciliation related to travel and business activities
Requirements
- 1 to 2 years of experience in an administrative, virtual assistant, or similar support role
- Proficiency in productivity tools such as Google Workspace, Microsoft Office, or similar platforms
- Strong written and verbal communication skills in English
- Highly organized with the ability to manage multiple priorities and meet deadlines independently
- A proactive, can-do attitude with a strong sense of ownership over assigned tasks
- Experience supporting US-based clients or teams is a plus
