Salon Front Desk Coordinator

Job Overview

Our client is looking for a dedicated Virtual Salon Receptionist to support a two-studio salon operation. The primary goal is to manage all phone-based and digital communication tasks, allowing the owner to focus on providing in-person services. The successful candidate will be the first point of contact for clients, ensuring professional service and efficient schedule management across multiple providers.

Schedule

  • Tuesday - Saturday, 9:00 AM - 5:00 PM EST, with a 30-minute paid break (40 work hours per week)

Responsibilities

  • Customer Communication: Answer all inbound phone calls promptly and professionally; respond to inquiries via text, WhatsApp, email, and social media.
  • Appointment Management: Schedule and manage appointments for four team members across two studio locations using the salon’s booking platform.
  • Information Security: Collect and securely process client credit card information to confirm bookings and gather contact details to support marketing efforts.
  • Client Support: Address questions regarding services, products, and pricing using provided protocols and software.
  • Time Zone Alignment: Work consistently within the client's local time zone to ensure real-time support.

Requirements

  • Previous experience in a receptionist, appointment setting, or customer service role.
  • Professional verbal and written communication skills in English, Portuguese and Spanish.
  • Ability to manage multiple schedules and coordinate bookings across different service providers.
  • Strong attention to detail, particularly when handling sensitive client information and payment details.
  • Comfortable learning new booking software and following established protocols.
  • Professional and friendly phone manner with a client-first approach.
