Job Overview
Our client is looking for a highly organized and detail-oriented Bilingual Administrative Assistant to join their team in the custom cabinetry, closets, and remodeling industry. This role plays a key part in the sales and project pipeline, ensuring leads are followed up consistently, project information is complete, and bids are prepared accurately.

Monday - Friday, 8:00 AM - 5:00 PM Eastern Time, with 1 hour unpaid break (40 work hours per week)
Responsibilities
- Lead & Client Management: Respond promptly to new inquiries; collect project scope, measurements, and inspiration photos; maintain all client records inside Houzz Pro.
- CRM & File Organization: Maintain accurate project stages in Houzz; upload documents and renderings; maintain organized Google Drive folder structures and update the CRM daily.
- Estimating & Bidding Coordination: Prepare project bids based on company pricing for cabinetry, countertops, and installation; review drawings for completeness; deliver professional proposals within 1–2 business days.
- Scheduling & Coordination: Schedule consultations and follow-up calls; coordinate communication between the client, designer, and owners.
- Follow-Up Management: Maintain a consistent follow-up schedule after estimates are sent; track client responses and notify owners when a client is ready to proceed.
- Invoicing & Administrative Support: Prepare invoices based on approved bids; track deposits and balances; ensure financial records match the approved scope.
- Internal Communication Support: Provide organized project summaries and identify missing information early to ensure smooth team workflows.
Requirements
- Fluent in English and Spanish (written and spoken).
- Proven experience as an Administrative Assistant, Virtual Assistant, Project Coordinator, or Estimating Assistant.
- Technical proficiency in Houzz Pro (or similar CRM), Google Drive, Google Docs/Sheets, and basic Canva.
- Ability to learn estimating templates and pricing structures quickly.
- Strong attention to detail and ability to work independently in a remote environment.
Qualifications
- Experience in cabinetry, construction, millwork, or remodeling is strongly preferred.
- Previous background in construction administration or estimating support.
