Role Overview

We are seeking a detail-oriented Administrative Assistant to manage customer communication and scheduling coordination.

This role focuses on WhatsApp-based communication, job scheduling, and operational organization, ensuring smooth day-to-day service delivery for field teams.

Schedule: Part Time - 20h per week - this role will be flexible within UK business hours.
Working Hours: Aligned with UK time zones (may include split shifts) 

Responsibilities:

  • Manage all customer communication via WhatsApp, including sending introduction messages to new clients and responding to enquiries promptly
  • Add new jobs into the cleaner planner app based on leads received from the door-to-door sales team and marketers
  • Build and maintain weekly cleaning schedules for each window cleaner across their designated service areas
  • Log specific customer instructions and access notes within the scheduling app to ensure smooth service delivery
  • Coordinate ETAs between customers and cleaners to keep all parties informed throughout the day
  • Review WhatsApp chat logs and historical records to schedule recurring cleans at the correct frequency

Requirements:

  • Previous experience in an administrative or scheduling coordination role
  • Strong written communication skills with the ability to respond quickly and professionally
  • High level of attention to detail when managing multiple schedules and customer notes
  • Reliable and consistent work ethic with a commitment to long-term engagement
  • Ability to work independently with minimal supervision
  • Comfortable working within UK time zones, including a potential split-shift schedule

Scope:

  • Support a team of three to four window cleaners operating across multiple UK service areas
  • Serve as the primary point of contact for customer scheduling and day-to-day communication
  • Ensure weekly schedules are prepared by Friday for the following week
  • Maintain accurate and up-to-date job records within the cleaner planner app
  • Operate within a streamlined task set focused on quality and responsiveness over volume
