Our client is a well-established family-run property management company with over 40 years of operational history. They specialize in managing blocks of flats and property letting services, overseeing approximately 40 to 50 blocks in total.


Job Overview
 

We are seeking a skilled Property Management Virtual Assistant to provide administrative support for our client's property management operations. This is a part-time position requiring 16-20 hours per week, flexibly spread across weekdays during standard office hours. The role involves phone support, tenant liaison, contractor coordination, and maintaining organized property management records.


Schedule:
Mon-Fri 9AM - 6PM GMT (Flexible scheduling across the week)

Client Timezone: Greenwich Mean Time (GMT)


Responsibilities

  • Answer incoming phone calls and provide solutions to property-related issues or escalate to appropriate personnel.
  • Coordinate with contractors for emergency repairs such as leaks, electrical issues, and other maintenance needs.
  • Chase up unpaid service charges and invoices, liaising with flat owners to secure payment arrangements.
  • Schedule and coordinate regular compliance tasks including annual emergency lighting tests, fire alarm system tests, quadrennial fire risk assessments, and quinquennial electrical property tests.
  • Transcribe meeting recordings and prepare minutes with action points from Annual General Meetings for managed blocks.
  • Maintain and organize all property management files and documentation within Dropbox.
  • Send follow-up communications and manage contractor progress through remote verification including photo documentation.
  • Handle occasional after-hours emergency calls as needed for urgent property issues.


Must-Have Requirements

  • Proven experience in administrative support or virtual assistant roles.
  • Excellent communication skills with strong phone manner and problem-solving abilities.
  • Proficiency with file management systems and cloud-based platforms such as Dropbox.
  • Strong organizational skills with ability to manage multiple properties and scheduling requirements.
  • Self-directed work style with ability to work independently in a remote environment.
  • Reliable internet connection and appropriate technical setup for remote work.


Nice-To-Have Requirements

  • Previous experience in property management or real estate administration.
  • Familiarity with UK property management practices and compliance requirements.
  • Experience coordinating with contractors and service providers.
  • Knowledge of invoicing and payment follow-up processes.
  • Experience with meeting minute transcription and action point tracking.
