Job Overview

Our client is looking for a professional and knowledgeable Medical Patient Coordinator to manage multi-channel inquiries and streamline the patient experience. The ideal candidate will act as a brand ambassador, educating callers on aesthetic procedures while ensuring high efficiency in scheduling and lead management across multiple practice locations.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM PST with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Multi-Channel Management: Answer incoming phone calls and manage inquiries via email, web chat, and Instagram while maintaining a professional demeanor.
  • Patient Onboarding: Enter patient information into CRM and EMR systems, identifying callers' needs to match them with the appropriate providers.
  • Strategic Scheduling: Schedule appointments using the practice's booking algorithm and provider specialties to ensure optimal efficiency.
  • Lead Nurturing: Manage the CRM pipeline (GoHighLevel) to move patients from lead status to treatment completion, ensuring responses to inquiries occur within five minutes.
  • Patient Education: Educate callers about aesthetic procedures through consultative communication and gentle upselling of complementary treatments.
  • Internal Coordination: Respond to inquiries and transfer complex clinical questions to appropriate providers via Microsoft Teams.
  • Growth Support: Support the practice's expansion from three to four locations by scaling intake processes and collaborating with in-house staff during peak hours.
  • High-Volume Oversight: Manage approximately 1,500 incoming monthly communications while maintaining data accuracy and preventing scheduling conflicts.

Requirements

  • Proven experience as a medical receptionist, patient coordinator, or similar role within a medical or aesthetic practice.
  • Familiarity with medical/aesthetic industry terminology.
  • Proficiency with CRM systems, specifically GoHighLevel or white-label CRM platforms, including pipeline management workflows.
  • Strong phone communication skills with a professional, rapport-building tone.
  • Ability to multitask and manage high call volumes with excellent organizational skills.
  • Professional written communication skills for email and chat management.
  • Ability to maintain focus and productivity in a remote, home-based environment.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
