Role Overview:
We are seeking a Property Financial Coordinator to support ownership in managing and holding the property manager accountable.
This is a back-end, operations-focused role centered on reporting, financial verification, and follow-ups — ensuring billing, collections, and action items are properly executed across the portfolio.
Schedule:
- Mondays to Fridays, flexible schedule based on the client's business hours (US Eastern Time, 40 hours per week)
Scope:
- Manage oversight of ~300 property units through reporting and follow-ups
- Minimal to no tenant communication (focus is internal coordination only)
- Direct support to ownership (not replacing the property manager, but overseeing them)
- Access to AppFolio (admin-level) for reporting and financial review
- Flexible schedule aligned with the client’s working hours and meetings
- Training provided on specific reports and workflows
Key Responsibilities:
- Run and export reports from AppFolio for review and analysis
- Verify billing, rent collections, and financial accuracy
- Perform basic reconciliation and flag discrepancies
- Track action items from weekly property management meetings
- Follow up with the property manager to ensure completion of tasks
- Maintain accountability workflows (checking if tasks were completed, escalating if not)
- Support oversight of property-related items such as insurance, taxes, and compliance
- Coordinate with property manager and contractors as needed (no direct tenant management)
- Organize and maintain clear documentation and reporting systems
- Assist with ongoing process improvement and operational visibility
Requirements:
- Experience with AppFolio (highly preferred) or similar property management software
- Strong Excel skills (reporting, data handling, exports)
- Basic accounting knowledge (understanding of debits, credits, and reconciliation)
- Background in property management, real estate, or similar operational roles
- Close attention to detail and an analytical mindset
- Strong follow-up and accountability skills
- Ability to work independently and manage ongoing task tracking
Highly Regarded Skills & Experience:
- Experience reviewing property management financials or reports
- Familiarity with real estate operations and third-party property managers
- Experience in administrative or executive assistant roles with operational oversight
- Process-driven mindset with strong organizational systems
- Experience working with U.S.-based clients or teams
