Position Overview
We are seeking a highly organized, proactive, and detail-oriented Freight & Logistics Coordinator to manage end-to-end international shipments (ocean & air). This role is critical in ensuring smooth coordination between freight forwarders, warehouses, customers, and internal teams—while maintaining accuracy, speed, and cost efficiency.

The ideal candidate has minimum 5 years of hands-on experience in international freight operations, strong communication skills, and the ability to take full ownership of shipments while proactively resolving issues.

Type: Full-time
Schedule: Monday to Friday from 9:00 AM to 6:00 PM Central Time (8 hours per day, 40 hours per week, with 1 hour unpaid lunch break) 

Key Responsibilities:
1. Freight Planning, Evaluation & Quotation
● Request and compare freight quotes from multiple freight forwarders (ocean & air)
● Evaluate pricing, transit times, routing, vessel schedules, and service reliability
● Communicate with the relevant sales person to understand:
     • History of the route
     • Vessel performance and transit reliability
     • Past experience with freight forwarders
● Select and assign freight forwarder based on cost, performance, and shipment

Requirements
● Negotiate competitive rates where applicable
● Maintain a database of forwarders, routes, and performance history

2. Booking & Freight Assignment
● Assign shipments only after proper coordination with sales and evaluation of route history
● Confirm bookings and ensure space allocation
● Monitor shipment schedules and proactively manage rollovers or delays

3. Coordination with Warehouses, Vendors, Sales & Customers
● Coordinate with warehouses for cargo readiness, loading schedules, and execution
● Arrange and confirm pickup appointments and delivery timelines
● Ensure clear instructions are provided to warehouse teams (loading plan, pallet details, labeling, etc.)
● Maintain continuous coordination with:
     • Warehouse
     • Vendors
     • Sales team
     • Customers
● Actively communicate via calls and messages to ensure alignment and execution

4. Shipping Instructions (SLI) Management
● Create, maintain, and update Shipping Instructions (SLI) for each customer
● Confirm SLI details with both customer and sales person prior to shipment
● Ensure all customer-specific and country-specific requirements are followed
● Maintain a centralized, updated SLI repository

5. Documentation Management
● Prepare, review, and coordinate all shipping documents including:
     • Commercial Invoice
     • Packing List
     • Bill of Lading / Air Waybill
     • Certificate of Origin
     • Health Certificates / Special documents (as required)
● Ensure all documentation is accurate, consistent, and compliant
● Send finalized SLI and instructions to freight forwarders
● Track document submission, approvals, and corrections

6. Shared Data & Process Management
● Maintain and update shared trackers and documents for:
     • Sales team (shipment status, ETD/ETA, documentation)
     • Warehouse team (loading schedules, priorities, instructions)
● Ensure real-time visibility and accuracy of data
● Use Excel / Google Sheets effectively for tracking and reporting

7. Shipment Tracking & Communication
● Track all shipments from origin to destination
● Provide tracking links and regular updates to customers and sales team
● Maintain proactive communication throughout shipment lifecycle
● Identify risks early and take preventive action

8. Freight Billing & Payment Verification
● Review freight invoices from forwarders for accuracy (rates, charges, weight, volume)
● Match invoices against approved quotes and shipment details
● Coordinate with accounting to ensure timely payments
● Resolve discrepancies with freight forwarders

9. Release & Finalization
● Ensure all documentation and payments are completed for cargo release
● Coordinate release instructions with forwarders and destination agents
● Confirm delivery or final handover
● Close shipment files with complete and accurate records

10. Process Discipline & Compliance
● Strictly follow all company procedures and workflows
● Understand the sensitivity of each step, including:
     • Communication accuracy
     • Documentation precision
     • Timeline adherence
● Ensure no step is missed or executed without proper validation

11. Crisis Management & Proactive Execution
● Identify potential issues early (delays, documentation gaps, routing risks)
● Take full ownership to resolve problems quickly and efficiently
● Communicate clearly and confidently during high-pressure situations
● Provide solutions and alternatives, not just escalation

Qualifications & Requirements
● Strong proficiency in English is required to effectively communicate with clients and team members
● Minimum 5+ years of experience in international freight/logistics coordination
● Strong knowledge of:
     • Ocean & Air Freight processes
     • Incoterms (EXW, FOB, CIF, etc.)
     • Export documentation and compliance
● Advanced proficiency in Excel / Google Sheets and shared documents
● Strong verbal and written communication skills with ability to coordinate via calls globally
● Ability to manage multiple shipments simultaneously with high accuracy
● Experience working with freight forwarders, warehouses, and international customers
● FMCG export experience preferred

Side Note: Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
