Executive Assistant | Project Coordination

Job Overview

Our client is looking for an Executive Assistant to own the operational layer of a founder-led company. This is a role for a sharp, intelligent, and autonomous professional who can function entirely remotely while managing strategy, power dynamics, and institutional complexity. The founder's capacity to generate and execute outpaces what any individual can hold alone; your job is to manage the operational details so the founder doesn't have to. There is no hand-holding, but for the right person, there is genuine investment and scope to grow.

Client Overview

This is a founder-led company operating at pace. The principal thinks in systems, moves fast, and operates in environments where what's said on the surface is rarely the whole picture. Strategy, power dynamics, and institutional complexity are daily terrain.

Schedule

  • Monday - Friday, 9:00 AM - 6:00 PM SGT, with 1 hour unpaid break (40 work hours per week)

Responsibilities

Project Coordination (most critical)

Track all active projects across internal teams and external stakeholders. Know the status of everything without being updated. Push progress along, surface blockers early, and give the founder a clear, accurate picture of where things stand — not a summary of activity, but a read on what's actually moving and what isn't.

Calendar & Scheduling

Manage a complex, frequently shifting schedule. Protect strategic time without being asked which time that is. Understand the difference between meetings that matter and meetings that consume, and manage accordingly.

Email Triage & Correspondence

Filter signal from noise. Draft responses that sound right and say the right thing. Read correspondence for subtext — what's being asked beneath what's written, and what a reply should and shouldn't reveal.

Finance & Expenses

Accurate, timely, self-managed. Expense processing, reconciliation, and tracking handled without prompting or follow-up.

Event Planning

Manage end-to-end logistics for meetings, offsites, and engagements — venues, coordination, travel, preparation materials. Nothing falls through on the day.

Meeting & Stakeholder Management

Prepare agendas in advance, capture notes, and track action items to completion after. Maintain a clear picture of key relationships — who matters, where things stand, and when follow-up is due.

Document & Vendor Management

Draft, format, and file documents accurately. Manage external providers and service relationships without needing to be chased.

Personal Assistance H

andle personal logistics, errands, and private scheduling with discretion. Strict confidentiality must be observed when it comes to personal logistics, travel plans and event planning.

Requirements

  • Professional Experience: Roughly 2–4 years of experience in a professional support, coordination, or operations role.
  • Adaptability: Experience supporting fast-moving, non-linear thinkers whose priorities shift quickly.
  • System-First Orientation: You find satisfaction in things running properly and ensuring closed loops. You do not leave things half-resolved or create work for others by leaving gaps.
  • Political and Contextual Literacy: Ability to handle communications in environments with unstated agendas. You "read rooms" in writing and understand the subtext of messages.
  • Calm Under Compression: Ability to absorb pressure during high-intensity periods without requiring the principal to manage your emotional state.
  • Technical/Location: Must be able to operate effectively within the Singapore timezone (SGT, UTC+8) and coordinate on the ground in Singapore when needed.
