Spanish Bilingual Project Coordinator & Executive Assistant

Job Overview

Our client is looking for a Spanish Bilingual Project Coordinator & Executive Assistant to streamline construction operations and executive workflows. This dual-focus role requires a high-energy professional who can navigate the complexities of construction management via Buildertrend while simultaneously acting as a gatekeeper for the owner’s administrative needs. The ideal candidate is a proactive problem-solver who is fluent in both English and Spanish and possesses a strong sense of ownership over project lifecycles.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM CST, with 1 hour unpaid/paid break (40 hours per week)

Responsibilities

  • Project Coordination: Coordinate crew schedules and assignments via Buildertrend and track project progress and milestones weekly.
  • Procurement & Logistics: Manage material ordering for job sites and island locations; arrange and confirm deliveries to specific project locations as needed.
  • Bilingual Communication: Facilitate daily communication between supervisors, crews, and suppliers in both English and Spanish.
  • Inbox & Calendar Management: Manage and filter the owner’s email inbox daily; coordinate the owner’s personal calendar and team schedules by consolidating entries from sources like Calendly and Google.
  • Lead Management: Manually enter new leads from GoHighLevel into Buildertrend and compile monthly lead flow and conversion reports.
  • Documentation & SOPs: Document administrative workflows into SOPs monthly and maintain a searchable knowledge base for operational protocols.
  • Administrative Support: Organize digital project files in Google Workspace/Microsoft 365 and prepare meeting agendas for team huddles.
  • Recruitment Assistance: Assist with recruitment by posting job ads and screening initial applications for construction labor.

Requirements

  • Experience: Proven experience as an Executive Assistant, Project Coordinator, or similar administrative support role.
  • Language: Fluency in both English and Spanish (written and verbal) for effective communication with crews and supervisors.
  • Technical Proficiency: Proficiency with Buildertrend is required; experience with GoHighLevel and QuickBooks is a strong plus.
  • Industry Knowledge: Demonstrated experience with email inbox management and calendar coordination; experience in construction or hotel renovation is highly desirable.
  • Skills: Excellent organizational skills with the ability to manage multiple priorities and a "zero-error" approach to data entry and reporting.
