Spanish Bilingual Property Management Assistant

Overview
Provide comprehensive support for property operations, tenant communication, financial management, and leasing processes. You will manage work orders, coordinate move-ins/outs, and maintain organized records for a property management team based in Florida.

Schedule
Monday - Friday, 9:00 AM – 6:00 PM Eastern Time (with 1-hour unpaid break)

Responsibilities

  • Tenant Communication & Support
    • Phone and email support for tenant inquiries, concerns, and requests
    • Schedule appointments, inspections, and handle repair calls
    • Manage collections, late payments, and issue reminders
    • Respond to potential tenant inquiries and schedule property showings
  • Work Order Management
    • Create, process, and track work orders for repairs, maintenance, and evictions
    • Follow up with vendors, contractors, and tenants for timely completion
    • Coordinate move-in/out processes including inspections and utility transfers
  • Financial Management
    • Create and send invoices, bills, and receipts
    • Ensure timely payment of bills and reconcile accounts
    • Record payments and resolve discrepancies
  • Tenant Screening & Leasing
    • Screen potential tenants (references, credit, rental history, employment)
    • Ensure applicant documentation is complete
    • Provide overviews to property manager/owner for final approval
  • Reporting & Documentation
    • Create leases and addendums in Rentvine portal
    • Prepare status reports on property conditions, ongoing tasks, and financials
    • Maintain organized records of leases, work orders, invoices, and communications
  • Online Listings & Property Management Software
    • List and market properties on Rentvine, Zillow, Craigslist, and social media
    • Update property information and monitor online reviews in Rentvine
  • Additional Responsibilities
    • Assist with lease renewals and terminations
    • Coordinate eviction processes if necessary
    • Stay updated on landlord-tenant laws and ensure compliance
    • Perform ad-hoc administrative tasks

Requirements

  • Proven experience as a Virtual Assistant, Property Manager, or similar role
  • MUST BE COMFORTABLE DOING DAILY CHECK-INS WITH THE CLIENT
  • Proficiency in property management software and Microsoft Office Suite
  • Excellent written and verbal communication skills in English and Spanish
  • Strong organizational and time-management skills
  • Basic accounting skills for invoices, payments, and reconciliations
  • Familiarity with tenant screening processes and leasing documentation
  • Ability to work independently and meet deadlines remotely
  • Experience with online listing platforms and marketing rental properties
