Job Description

As a Bookkeeper / Virtual Assistant, you will manage core financial processes while supporting administrative operations across the business. You will ensure accurate financial records, maintain consistent communication workflows, and help establish structured systems that support ongoing growth.

This is a hands-on role requiring attention to detail, strong organizational skills, and the ability to work independently while collaborating closely with the business owner.

Schedule: 20 hours/week, flexible during business hours (aligned with business operations) 
Client Timezone: Australian Eastern Time  

Responsibilities
Bookkeeping & Financial Management

  • Manage accounts payable and accounts receivable processes
  • Process incoming invoices and maintain accurate financial records
  • Reconcile transactions and ensure all records are up to date in Xero
  • Maintain proper documentation for all financial activities

Administrative & Operational Support

  • Monitor and respond to daily emails to ensure smooth communication flow
  • Support scheduling, correspondence, and general administrative tasks
  • Assist in coordinating operational activities across multiple locations
  • Ensure no critical communications or tasks are missed

Systems & Process Development

  • Maintain and improve back-of-house administrative structures
  • Help establish efficient workflows and scalable systems
  • Support the organization of financial and operational data
  • Contribute to improving internal processes as the business grows

Requirements

  • 3–5 years of experience in bookkeeping or accounting support roles
  • Strong proficiency in Xero
  • Excellent organizational and multitasking skills
  • High attention to detail, especially with financial data
  • Strong written communication skills
  • Ability to work independently with minimal supervision
  • Proactive mindset with a focus on process improvement
