Role Overview
We are seeking a highly organized Administrative Coordinator to manage daily operations, client communication, and engineer scheduling.
This role is central to ensuring smooth coordination between clients and field engineers, handling bookings, quotes, and invoicing while keeping operations efficient and on track.
Schedule
- Monday - Friday 8am-5pm – GMT; UK Business Hours; 40h per week
Key Responsibilities
- Manage inbound calls and emails, ensuring prompt and professional responses
- Schedule and book jobs for engineers based on availability and priority
- Maintain and manage engineers’ calendars to optimize daily schedules
- Prepare and send quotes to clients in a timely manner
- Issue invoices following job completion and track related documentation
- Coordinate day-to-day administrative operations to support business flow
- Ensure accurate record-keeping of jobs, schedules, and client communications
- Support process improvements to enhance operational efficiency
Requirements
- Minimum 3 years of experience in an administrative or customer-facing role
- Experience working in a service-based environment (scheduling, quoting, invoicing)
- Strong proficiency with Google Calendar and scheduling tools
- Excellent written and verbal communication skills
- Professional phone manner and client-facing confidence
- High attention to detail and strong organizational skills
- Ability to work independently and manage multiple priorities

- Experience supporting field teams or engineers
- Familiarity with CRM or job management systems
- Experience working with UK-based clients or businesses
- Strong process-oriented mindset with ability to improve workflows

Scope
- Act as the primary point of contact for client communication and scheduling
