Overview

We are looking for a proactive and detail-oriented Administrative Assistant to support our growing business. This role focuses on maintaining smooth day-to-day operations by managing calendars, handling communications, and overseeing automated systems.

You will work closely with leadership to ensure everything behind the scenes runs efficiently. This is an ideal opportunity for someone who enjoys organization, problem-solving, and working with modern tools and automation.

Schedule

  • Monday to Friday
  • 4 hours per day (flexible within 9:00 AM – 6:00 PM EST)
  • 20+ hours per week

Key Responsibilities

  • Manage and maintain executive calendars, scheduling meetings and ensuring accuracy
  • Monitor and respond to emails in a timely and professional manner
  • Oversee automated systems (CRM, scheduling tools, AI agents, etc.) to ensure they are functioning correctly
  • Coordinate internal processes and assist with operational workflows
  • Attend meetings when needed and provide clear, actionable notes
  • Ensure all backend operations are organized and running smoothly

Requirements

  • Previous experience in administrative, operations, or virtual assistant roles
  • Strong organizational and time management skills
  • High attention to detail and ability to spot issues quickly
  • Ability to work independently and take initiative
  • Comfortable working with digital tools (CRM systems, scheduling platforms, automation tools)
  • Strong written communication skills
  • Fast learner who can adapt to new systems and processes quickly
  • Reliable and consistent availability during EST business hours

Nice to Have (Not Required)

  • Experience working with automation tools or AI systems
  • Familiarity with CRMs like HubSpot, Zoho, or similar
  • Previous remote work experience
