Legal Administrative Coordinator

Job Description:

You’ll be the organizational backbone for a busy employment attorney, ensuring nothing falls through the cracks in a litigation-heavy practice. This role offers the perfect opportunity to grow with a scaling law firm, starting part-time with clear potential for full-time expansion as the practice continues to grow. Your administrative expertise and legal industry knowledge will be essential in supporting important employment law cases while helping streamline operations for maximum efficiency.

Client Overview:

A dynamic employment law practice specializing in litigation work that makes a real difference for clients. This growing firm handles high-stakes cases with tight deadlines and is at an exciting growth phase where the owner recently took full control of operations. You’ll be supporting critical legal work in a fast-paced environment where attention to detail directly impacts case outcomes.

Schedule:

  • Mondays to Fridays, flexible between 9:00 am and 5:00 pm (US Pacific Time, 20 hours per week, 4 hours per day)

Responsibilities:

  • Manage high-volume email inbox and prioritize urgent communications
  • Maintain a comprehensive calendar and scheduling system using Clio practice management software
  • Organize and file legal documents within the Clio system for easy retrieval
  • Communicate with clients via email to provide case updates and status reports
  • Track critical tasks and court deadlines to ensure compliance requirements are met
  • Coordinate litigation-related administrative activities and document preparation
  • Learn and adapt to new software systems quickly as the practice evolves
  • Support the attorney with various administrative tasks to free up time for legal work

Requirements:

  • Strong organizational and time management skills with the ability to handle multiple priorities
  • Excellent written communication abilities for client correspondence
  • Ability to work independently with minimal supervision in a remote environment
  • Detail-oriented approach with understanding of the importance of legal deadlines
  • Comfortable learning new software systems quickly and efficiently
  • Bonus if you have previous experience in legal administrative roles
  • It helps if you’re familiar with practice management software (Clio experience a plus)
  • Nice to have experience supporting litigation or employment law practices
