Job Overview

We are seeking an Administrative Assistant to handle non-legal client-facing and back-office operations for a boutique estate planning practice. This role requires someone who can manage client relationships, coordinate appointments, and handle administrative tasks while the attorney focuses on legal work. The ideal candidate will be comfortable learning specialized subject matter to answer frequently asked questions and provide excellent customer service to clients throughout the estate planning process.

A solo law practice specializing in special needs estate planning in California. The firm focuses on providing specialized estate planning services to clients with unique planning needs.

Schedule

  • Monday - Friday, 9:00 AM - 1:00 PM PST (20 work hours per week)

Responsibilities

  • Provide client-facing customer service including nurturing clients through the estate planning process
  • Schedule and confirm client appointments and manage intake calendar coordination
  • Communicate with clients regarding document gathering and process updates
  • Handle administrative tasks and back-office operational support
  • Learn and respond to frequently asked questions about specialized estate planning matters
  • Manage tasks within legal practice management software systems

Requirements

  • Strong English communication skills with clear articulation for client-facing interactions
  • Proven customer service experience with ability to nurture client relationships
  • Willingness to learn specialized subject matter and frequently asked questions
  • Ability to work 25 hours per week on Pacific Standard Time schedule
  • Experience with CRM or practice management software systems

Qualifications

  • Nice-to-Have: Experience with Clio legal management software
  • Nice-to-Have: Background in legal or estate planning administrative support

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
