Job Overview

This is a part-time remote position requiring 20 hours per week focused primarily on bookkeeping with additional administrative support responsibilities. The role involves managing QuickBooks entries, categorizing expenses, reconciling transactions from the company CRM, and ensuring accurate financial records for tax preparation. The ideal candidate will work closely with the business owner to maintain organized financial systems while also supporting client follow-up, scheduling coordination, and general administrative tasks as the business scales.

Responsibilities

  • Review and categorize daily expenses including materials, meals, gas, and contractor payments in QuickBooks.

  • Reconcile automated invoice uploads from Job Nimbus CRM to QuickBooks and verify accuracy of revenue entries.

  • Process and record subcontractor payments for 1099 reporting purposes at year-end. Organize monthly and year-end financial reports to prepare the business owner for tax filing.

  • Follow up with clients to request Google reviews and maintain positive online reputation.

  • Coordinate and organize appointment scheduling for project managers and field crews.

  • Perform general administrative tasks including lead follow-up and customer service support as needed.

  • Adapt to evolving processes and provide input on improving financial workflows as the company grows.

Requirements

  • Minimum 5 years of professional bookkeeping experience with strong proficiency in QuickBooks.

  • Proven experience working in the construction, roofing, or remodeling industry with understanding of industry-specific accounting needs.

  • Strong organizational skills with attention to detail in expense categorization and financial reconciliation.

  • Ability to work independently during Eastern Time business hours with reliable internet connection.

  • Excellent written and verbal English communication skills for client follow-up and coordination with team members.

Nice to have:

  • Familiarity with Job Nimbus CRM or similar construction management platforms such as Procore or Acculynx.

  • Experience managing subcontractor payments and 1099 reporting processes.

  • Flexibility and openness to training on new processes as business needs evolve. Background in administrative support including scheduling coordination and customer service.
