Job Overview

As the Administrative Assistant (Finance-Focused), you will serve as the backbone of our administrative and financial workflows. You will be responsible for maintaining accurate ledgers, managing supplier relationships, and ensuring seamless coordination between our sales and operations teams in a fast-paced media environment.

Responsibilities

As the backbone of our administrative and financial workflows, your day-to-day will involve:

  • Managing the end-to-end invoicing process, setting up new suppliers, and maintaining accurate ledgers within Xero.
  • Efficient data entry and meticulous record-keeping to ensure our financial and operational databases are always up-to-date.
  • Preparing detailed financial reports and crafting professional presentation templates using Google Slides.
  • Addressing customer and supplier inquiries via phone, email, or video calls with a high level of professionalism and clarity.
  • Organizing sales invoices, contracts, and sensitive financial documents with a focus on data protection and discretion.
  • Coordinating with sales and operations teams to ensure smooth project transitions and timely task completion.
  • Assisting in the organization and scheduling of internal meetings, client appointments, and company events.

Requirements

To thrive in this role, you’ll need:

  • Practical experience with Xero (or similar accounting software) and a solid understanding of invoicing and supplier management.
  • High proficiency in G-Suite (Docs, Sheets, Slides) and a general "tech-forward" mindset.
  • Exceptional written and verbal English skills, with experience handling voice interactions and customer support.
  • A "detective’s eye" for detail—errors in data entry don't get past you.
  • The ability to learn new tools quickly and pivot between tasks in a fast-paced media environment.
  • A proven track record of meeting deadlines and handling sensitive information with integrity.

Qualifications

Highly Regarded Skills and Experience:

  • Experience using AI tools (e.g., ChatGPT, Claude, or automation workflows) to streamline administrative tasks.
  • Familiarity with cloud storage solutions like Google Drive or Dropbox.
  • Prior experience helping plan or execute corporate events or marketing activations.
  • Previous experience working within the advertising or media sector.

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
