Marketing Operations Assistant

Job Overview

Our client is looking for a proactive, organized, and tech-savvy coordinator to support their website, member communications, and digital content. You’ll manage updates across platforms, assist members with administrative tasks, and help execute marketing initiatives. This is a hands-on role that requires attention to detail and the ability to manage multiple moving parts.

Schedule

  • Monday - Friday, between 9:00 AM and 4:00 PM AEST (20 work hours per week)

Responsibilities

Website & Content Management

  • Update website copy and content as directed by the internal team
  • Review automation sequences and remove outdated events
  • Upload recordings from conferences and webinars to Vimeo and member resources
  • Maintain and populate the Jobs board
  • Upload archived resources from the old site to the new website
  • Schedule and upload social media posts as required

Email & Automation

  • Build and schedule email automation sequences
  • Send member emails encouraging event attendance and free ticket usage
  • Set up, schedule, and send pre-prepared email EDM templates

Presentation & Reports

  • Implement design changes to PowerPoint presentations
  • Add images and award winners to the annual Awards presentation
  • Compile seasonal reports (Christmas, Easter, Valentine’s, Halloween)

Data & Member Management

  • Format and manage Excel spreadsheets and event lists
  • Update and manage CRM, including adding/removing members, attendees, and tracking CPD points
  • Maintain e-course platform records
  • Build Awards winner spreadsheets and Word guides with correct ordering and names
  • Conduct regular database audits to ensure member information is accurate

Flickr & Visual Content

  • Upload seasonal images, award entries, and POP displays to Flickr
  • Prepare award entrant images for bulk upload, tagging appropriately to agencies, brands, and retailers

Social Media

  • Support organic social media strategy and content planning

Requirements

  • Strong organizational and multitasking abilities
  • Proficient with website CMS, email platforms, Excel, and CRM systems
  • Detail-oriented and reliable with member and data management
  • Comfortable handling multiple digital platforms (Vimeo, Flickr, social media)
  • Good communication skills, both written and verbal

Side Note

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
