Job Overview
Our client is seeking a highly experienced Senior Administrative & Operations Support Specialist to support day-to-day business operations, with a strong focus on organization, coordination, and process efficiency. This role is ideal for someone who is highly organized, detail-oriented, and proactive, with the ability to work independently and ensure smooth operations across the business.

Monday - Friday, 9:00 AM - 6:00 PM NZDT, with 1 hour unpaid break (40 work hours per week)

Responsibilities
Administrative & Executive Support
- Manage and organize calendars, meetings, and schedules
- Prepare meeting notes, action items, and follow-ups
- Act as a central point of coordination across teams
- Manage emails and ensure timely communication and responses
- Support leadership with day-to-day operational needs
Finance & Contract Support (Basic but Detail-Focused)
- Handle basic financial administrative tasks such as: Invoice tracking and data entry
- Reviewing financial information for accuracy
- Maintain organized financial records and documentation
- Demonstrate a high-level understanding of contracts and commercial agreements (no deep accounting required)
- Ensure accuracy and consistency when working with financial and contractual data
- Flag discrepancies or inconsistencies for review
Operations & Process Management
- Ensure workflows are well-organized and running efficiently
- Maintain and improve standard operating procedures (SOPs)
- Track tasks, deadlines, and deliverables to ensure nothing is missed
- Identify opportunities to improve systems and processes
Data & System Management
- Maintain clean and accurate internal systems, CRM, and databases
- Ensure all records are up to date, structured, and accessible
- Support reporting by keeping data organized and reliable
Cross-functional Coordination
- Work closely with multiple stakeholders across the business
- Ensure clear communication and alignment between teams
- Support execution of operational and administrative initiatives
Requirements Experience
- 3–5+ years of experience in a senior administrative or operations support role
- Experience working in fast-paced or growing environments preferred
Technical Skills
- Proficiency in Google Workspace / Microsoft Office
- Experience with basic financial tools or accounting systems (e.g., Xero, QuickBooks) is a plus
- Familiarity with CRM or project management tools is an advantage
