Brand and Advertising Coordinator

The Brand and Advertising Coordinator plays a pivotal role in supporting the Marketing Manager by implementing branding, advertising, and promotional strategies, while also coordinating a wide range of marketing and branding-related projects. This role ensures initiatives such as website updates, brand refreshes, campaigns, and marketing programs are planned, tracked, and delivered on time and on brand.

The position manages association memberships and relationships, oversees promotional product programs, supports content creation alongside the Content Specialist, and acts as a central point of coordination between internal stakeholders and external vendors to keep marketing initiatives moving efficiently from concept to completion.

Key Responsibilities:

Brand Management

Asset Management:

  • Maintain an organized library of brand assets, including logos, templates, and style guides, ensuring they remain current and accessible.

  • Oversee proper usage of brand assets by internal teams and external partners.

  • Oversee the creation, printing, and distribution of company business cards.

  • Assist in designing and producing brochures, presentations, and sales materials.

  • Ensure all collateral aligns with brand guidelines and supports marketing objectives.

Quality Control

  • Review marketing collateral, promotional products, advertisements, and digital content to ensure brand consistency.

  • Provide feedback and approvals to ensure all outputs align with brand standards.

Advertising

  • Oversee the execution of advertising initiatives across digital, print, and event-based channels.

  • Manage advertising agreements with vendors, ensuring adherence to terms, timelines, and deliverables.

  • Plan, organize, and manage creative assets to align with ad buy schedules and campaign timelines.

  • Track creative deadlines and ensure all materials are delivered accurately and on time.

  • Maintain comprehensive records of advertising commitments, budgets, and campaign data for year-over-year comparison.

  • Partner with internal teams and external vendors to ensure seamless production and distribution of advertising materials.

  • Research and evaluate new advertising initiatives and present recommendations to management.

Project Coordination 

  • Coordinate a variety of marketing and branding-related projects, including but not limited to website updates or launches, brand initiatives, campaigns, and marketing programs.

  • Develop and maintain project timelines, task lists, and status updates to ensure milestones and deadlines are met.

  • Act as the primary point of contact for assigned projects, facilitating communication between internal teams, leadership, and external partners.

  • Schedule and lead project check-ins as needed to track progress, identify risks, and resolve issues.

  • Ensure deliverables meet brand standards, business objectives, and quality expectations.

  • Track project dependencies, approvals, and handoffs to support smooth execution from planning through completion.

  • Support post-project reviews by documenting outcomes, lessons learned, and recommendations for future initiatives.

Association Memberships & Relations

  • Manage memberships with industry associations, ensuring timely renewals and maximizing member benefits.

  • Build and maintain relationships with key association contacts.

  • Maintain accurate records of active associations, renewal dates, and key contacts.

Promotional Products

  • Oversee the selection, design, and distribution of promotional products that align with the brand.

  • Maintain inventory of promotional materials and track usage.

Promotional & Content Support

  • Collaborate with the Content Specialist to create case studies, social media posts, and marketing collateral.

  • Assist in drafting, editing, and proofreading content to ensure quality and consistency.

  • Support planning and execution of Account-Based Marketing (ABM) campaigns in coordination with internal teams and partners.

  • Assist with newsletters and email marketing campaigns.

  • Perform other duties as assigned to support team initiatives.
