Legal Data & Document Specialist

Role Overview:

We are seeking a detail-driven Legal Operations Assistant to own the accuracy, integrity, and organization of legal and client data across our case management systems (primarily Filevine). This role is responsible for maintaining clean, audit-ready systems, proactively identifying and flagging data discrepancies, and supporting co-counsel coordination and legal operations workflows.

Schedule:

  • Mondays to Fridays, 8:00 am to 5:00 pm (US Mountain Time), with a 1-hour unpaid break (40 hours per week)

Core Responsibilities:

  • Data Ownership: Maintain accuracy and consistency of signed case and client data.
  • Document Management: Upload and maintain legal documents in Filevine following internal standards.
  • Quality Control: Proactively identify, flag, and escalate data discrepancies to the coordinator.
  • Workflow Support: Support co-counsel coordination and internal legal operations workflows.
  • Administrative Assistance: Provide reliable support for email management, scheduling, and contact updates.

Required Profile:

  • Close attention to detail with high-accuracy data entry skills.
  • Proficiency with Filevine or a comparable legal CRM/case management system.
  • Experience handling sensitive, confidential legal information.
  • Strong written English and professional correspondence skills.
  • A legal, compliance, or operations background is strongly preferred.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
