Our client is looking for a proactive professional to serve as the operational backbone for provider and nurse staffing. This is a high-impact, full-time role designed for someone who can manage the entire lifecycle of clinical personnel—from initial sourcing and recruiting to full system onboarding and real-time session monitoring. You will be embedded in the daily rhythm of clinical operations, ensuring the staffing pipeline remains robust and that healthcare sessions run on time and with full compliance.

A fast-paced healthcare organization focused on clinical staffing and operational excellence. They operate a highly coordinated remote team that manages providers and registered nurses across multiple time zones. The company values independence, strict adherence to HIPAA and security standards, and a "zero-lag" approach to operational troubleshooting.
Schedule
- Monday – Friday, 8:00 AM – 5:00 PM EST (40 hours per week)
Note: Requires availability for occasional weekend or on-demand coverage to support real-time scheduling needs.

Responsibilities
The role is divided into two primary focus areas, and candidates may be assigned based on their specific strengths:
Focus A: Recruiting, Onboarding & Systems
- Sourcing: Identify and screen candidates via LinkedIn and other platforms for various clinical roles.
- Pipeline Management: Maintain hiring metrics, schedule interviews, and follow up proactively with nurse candidates.
- Full Onboarding: Execute end-to-end setup, including creating email accounts, Slack integration, and system checklists.
- Compliance: Collect and organize medical licenses/credentials and enroll candidates in HIPAA and security training.
- Documentation: Maintain personnel records and update SOPs as processes scale.
Focus B: Monitoring, Scheduling & Operations
- Session Monitoring: Monitor live sessions in real-time to ensure both providers and patients join as scheduled.
- Attendance Tracking: Escalate no-shows immediately and track attendance rates across the provider network.
- Nurse Scheduling: Manage complex shift scheduling to ensure 100% coverage across all time blocks.
- Operational Reporting: Update dashboards and trackers to report on scheduling gaps and operational efficiency.
- Handoff Coordination: Work closely with the recruiting team to transition new hires seamlessly into the active schedule.
Requirements
- 2+ years of experience in a virtual assistant, operations support, or administrative role.
- Proven experience with candidate sourcing tools (LinkedIn, job boards).
- Strong organizational skills with a high degree of technical literacy across multiple platforms.
- Excellent written and verbal English communication skills.
- Ability to handle sensitive medical and personnel information with absolute discretion.
- Technical Setup: Must have a reliable computer and high-speed internet connection for a remote environment.
Qualifications
- Previous experience in healthcare operations or clinical staffing (Highly Regarded).
- Holding both a US and a Philippine RN license (A Significant Plus).
- Experience with HIPAA compliance standards and credentialing processes (Preferred).
- Ability to work independently and take initiative during US business hours.
