Executive Assistant to the COO (Change Management & Vendor Relations)

Job Overview

The company is currently navigating a critical period of leadership transitions, vendor restructuring, and operational streamlining. We are seeking a highly proactive, hyper-organized Part-Time Executive Assistant to support our Chief Operations Officer (COO) directly.

This role is not just about scheduling; it is about protecting the COO’s time. The ideal candidate will act as a gatekeeper and operational coordinator, taking over inbox triage, meeting prep, and administrative follow-ups so the COO can focus on high-level strategy, cash flow management, and revenue-driving initiatives.

Monday - Friday, 8:00 AM - 12:00 PM MST (20 work hours per week)

Responsibilities

  • Inbox & Calendar Management: Ruthlessly triage the COO's inbox, categorize actionable items, and manage a complex calendar. Ensure the COO is only stepping into conversations where high-level approval or strategy is required.
  • Meeting Coordination & Preparation: Draft meeting agendas, capture detailed notes during C-Suite and operational syncs, and distribute actionable follow-ups to the team.
  • Operational Project Support: Assist with administrative tasks related to major ongoing projects, including vendor management, 1099 sales force transitions, and government contract documentation.
  • Cross-Functional Communication: Act as a seamless liaison between the COO and other key stakeholders, ensuring smooth information flow without creating bottlenecks.
  • Daily Briefings: Prepare end-of-day (EOD) summaries and morning briefings for the COO to highlight urgent vendor issues, AR/AP escalations, and pending contract approvals.

Requirements

  • Experience: Proven experience as an Executive Assistant, ideally supporting C-level executives in a fast-paced or transitioning operational environment.
  • Tech Stack: Highly proficient in Google Workspace (Gmail, Calendar, Drive, Meet). Familiarity with HubSpot or similar CRM tools is a major plus.
  • Proactive Problem Solver: Ability to anticipate the COO’s needs, connect the dots between different email threads, and independently track down answers before being asked.
  • Communication: Flawless written and verbal English. Ability to communicate with firmness, diplomacy, and clarity when dealing with external vendors and internal leadership.
  • Confidentiality: Absolute discretion when handling sensitive financial, payroll, and organizational data.

Side Note

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
