Job Description
You’ll be the vital connection between our client and their international network of event planners, venues, and musicians. This role perfectly blends administrative excellence with creative industry exposure, where your communication skills directly impact the success of world-class musical performances. Responsibilities
- Handle inbound performance inquiry emails and guide prospects through the booking process from initial contact to confirmation
- Conduct outreach to event planners, music festivals, and award organizations to build relationships and secure meeting opportunities
- Coordinate large-scale events involving 20-40+ musicians by creating spreadsheets, managing contact lists, and confirming participant availability
- Book travel accommodations including hotels within specified budgets and location requirements
- Manage social media presence by selecting and posting existing performance videos to Instagram and TikTok
- Perform basic website maintenance including updating event ticket links and adding new performance dates
- Schedule meetings and Zoom calls with brands and potential partners using calendar management
- Compile and organize logistics information such as flight details and event summaries into comprehensive reports
- Maintain organized systems using Google Drive for images, videos, schedules, and client information
Requirements
- Excellent written communication skills with a warm, friendly, and professional tone
- Strong people skills and natural ability to build relationships in a collaborative industry environment
- Administrative experience with proven organizational abilities
- Comfortable with social media platforms (Instagram, TikTok) and basic content management
- Experience with Google Drive, spreadsheets, and basic website management
