Role Name: Administrative Assistant

Job Description: You’ll play a crucial role in ensuring seamless luxury travel experiences by handling the detailed administrative work that makes high-end travel possible. You’ll be the organizational backbone that allows the travel advisors to focus on what they do best – creating extraordinary experiences for their clients. 

Client Overview: Join a dynamic luxury travel agency that’s experiencing exciting growth and needs your administrative expertise to help deliver exceptional client experiences. You’ll be the behind-the-scenes hero supporting a passionate team of travel professionals who are scaling rapidly. 

Schedule: Full-time (40 hours per week); Monday to Friday 9am to 6pm with one hour of unpaid break

Responsibilities:

  • Create and manage detailed travel itineraries for luxury travel clients
  • Handle administrative paperwork and documentation related to travel bookings
  • Process and manage invoices and billing-related tasks
  • Coordinate concierge services including transfers and dining reservations
  • Communicate with internal team members to support ongoing projects
  • Liaise with external vendors and service providers to ensure seamless execution
  • Support general administrative tasks to help the team manage their expanding workload
  • Maintain organized systems for tracking client requests and vendor communications

Requirements:

  • Excellent English communication skills (written and verbal)
  • Strong attention to detail and organizational abilities
  • Experience with administrative tasks and paperwork management
  • Comfortable working with multiple systems and learning new software quickly
  • Ability to work independently and manage multiple tasks simultaneously
  • Professional communication skills for vendor coordination
  • Reliable internet connection and suitable home office setup
  • Bonus if you have experience in travel, hospitality, or luxury services
  • It helps if you’re familiar with booking systems or CRM platforms

Side Note
This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
