Job Overview:
We are seeking two proactive and detail-oriented Virtual Assistants to support our Business Development (BD) team in managing communication with sub-agents. This role focuses on maintaining strong relationships with agents, responding to inquiries, and ensuring timely information updates related to OPT, CPT, and program policies.
The ideal candidate should have excellent communication skills, strong learning ability, and the capacity to organize and manage information effectively.
Schedule:
- Training Period: Mondays to Fridays, 9:00 am to 6:00 pm (US Pacific Time), with a 1-hour lunch break
- After Training: Flexible schedule within the client’s time zone
- 40 hours per week

Key Responsibilities:
- Serve as the primary point of contact for sub-agents through group chats, messaging platforms, and phone calls
- Respond to agent inquiries within 1 hour during business hours in a timely and professional manner
- Answer phone calls from agents and provide accurate information, guidance, or support regarding programs and application processes
- Conduct regular check-in sessions with agents (biweekly or monthly) to maintain relationships and address questions or concerns
- Support the BD team by relaying updates, announcements, and important program information to agents within 24 hours of internal release
- Quickly learn and stay updated on OPT, CPT, and other relevant policies and program requirements, and provide accurate explanations to agents when needed
- Organize, summarize, and maintain updated information resources and FAQs for internal and agent reference
- Document agent feedback, recurring questions, and operational issues, and report key insights to the internal team on a regular basis
- Follow up with partner schools regarding student application status, admission decisions, and I-20 issuance within 1–2 business days after submission
- Communicate with universities to identify missing documents or resolve application issues within 24 hours of notification
- Coordinate with agents to collect and submit required application materials in a timely manner (typically within 1–2 business days)
- Track student application timelines and ensure admission decisions are received within approximately 5 business days whenever possible
- Update agents on admission results, next steps, and I-20 processing progress within 24 hours after receiving updates from partner schools

- Strong communication and interpersonal skills
- Ability to respond to inquiries clearly and professionally
- Fast learner with the ability to understand and keep up with policy updates (OPT/CPT related)
- Good information organization and documentation skills
- Responsible, detail-oriented, and proactive
- Comfortable handling multiple conversations and communication channels simultaneously
Training & Support:
Selected candidates will receive onboarding training covering:
- OPT and CPT policy overview
- Communication guidelines with agents
- Internal workflow and systems
Ongoing training and updates will also be provided regularly to ensure the VA team stays informed about the latest policy and program changes.

- This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are determined by your performance throughout the application process.
