Shipping & Operations Coordinator

Key Responsibilities
Shipping & Logistics

  • Review upcoming events using Paintvine’s internal dashboard
  • Understand the specific supply requirements for each event, artist, and venue
  • Check and maintain stock levels using internal stock boards
  • Place accurate and timely orders with Paintvine’s UK warehouse
  • Ensure supplies are dispatched to the correct location within required timeframes
  • Flag low stock levels or potential issues in advance and propose solutions
  • Resolve shipping issues, including delayed or missing deliveries, in a calm and professional manner

Operational Support

  • Develop and maintain a strong understanding of how Paintvine events run
  • Work closely with artists and internal teams to ensure operational readiness
  • Support event scheduling and listings where required
  • Maintain accuracy across internal systems and dashboards

Customer Support

  • Respond to occasional customer enquiries in line with Paintvine’s tone of voice and policies
  • Escalate issues where appropriate and ensure timely follow-up

Research & CRM Support

  • Conduct ad-hoc research projects, including:
    • Researching venue locations in new or existing cities
    • Researching companies or organisations for outreach or partnerships
  • Compile accurate contact information (names, roles, emails, phone numbers)
  • Upload, organise, and maintain clean data within Paintvine’s Monday CRM

What Success Looks Like

  • Events are consistently supplied correctly and on time
  • Stock levels are well managed with minimal last-minute issues
  • Internal systems and CRM data are accurate and up to date
  • Artists and internal teams feel supported and confident
  • Shipping issues are resolved quickly with minimal disruption

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.

Requirements

  • University Degree Preferred
  • High school diploma or equivalent; minimum.
  • Proven experience as an administrative assistant or similar role.
  • Strong proficiency in office productivity software (e.g., GoogleSheets, Slack, Event listing platforms).
  • Excellent verbal and written communication skills.
  • Exceptional organizational and time management abilities.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Attention to detail and accuracy in completing assigned tasks.
  • Strong problem-solving skills and the ability to work independently.
