Job Overview
This is a full-time Executive Assistant role providing high-level support to executives in a fast-paced professional environment. The position requires managing communications, coordinating projects, and supporting operations, with a strong emphasis on CRM management, licensing processes, and agent relations. The ideal candidate will be proactive, organized, and able to work independently while handling sensitive information with discretion.

Client Overview
The client is a company in the insurance industry, focused on managing a large network of independent agents and ensuring compliance and licensing requirements are met efficiently. The role supports executives who oversee operations, agent development, and organizational initiatives.

Schedule

  • Monday – Thursday: 11:00 AM – 8:00 PM EST (including 1-hour unpaid break)
  • Friday & Saturday: 11:00 AM – 3:00 PM EST
    Client Timezone: Eastern Time Zone (Florida)
    Total: 40 hours per week

Responsibilities

Executive Communication & Email Management

  • Manage executive email communications and prioritize critical correspondence
  • Filter large volumes of information and provide concise summaries of long email threads
  • Present structured information (Issue → Options → Recommendation) to aid executive decisions

Organization & Task Management

  • Maintain clear organization of tasks, priorities, and deadlines for executives
  • Track assignments, follow-ups, and commitments to ensure completion
  • Take structured meeting notes during executive and leadership meetings

CRM & Agent Information Management

  • Maintain the company CRM to ensure accurate agent information
  • Conduct follow-up calls with brokers to ensure timely data entry
  • Track new recruits’ progress through licensing to prevent delays

Agent Relations & Licensing Support

  • Serve as liaison for agent relations, answering licensing questions and providing guidance
  • Coordinate with internal team leaders on onboarding and agent development initiatives

Information Management

  • Filter and summarize large amounts of information for executive review
  • Organize notes, track decisions, and follow up on action items

Task Prioritization

  • Prioritize tasks independently based on urgency, deadlines, and executive impact
  • Ensure time-sensitive tasks are completed promptly

Proactive Executive Support

  • Anticipate executive needs and prepare information, documents, and logistics in advance
  • Identify potential issues or gaps before they arise
  • Ask thoughtful questions to clarify priorities

Project & Operations Coordination

  • Assist with coordinating projects, operational initiatives, and team collaboration
  • Track progress, deadlines, and deliverables
  • Coordinate with internal teams, vendors, and external stakeholders as needed

Problem Solving

  • Identify issues and present practical solutions
  • Evaluate options and recommend next steps to executives

Technology & Systems

  • Utilize CRM systems, task management tools, and digital platforms efficiently
  • Support virtual meetings, document management, and project coordination

Confidentiality

  • Handle sensitive company information with discretion
  • Maintain strict confidentiality regarding executive communications, finances, and operations

General Support

  • Handle diverse ad-hoc projects supporting business growth and operations

Requirements

  • 3–5+ years as an Executive Assistant, Administrative Assistant, or Personal Assistant
  • Direct experience in the insurance industry with licensing and compliance processes
  • Strong proficiency in Microsoft Office Suite and Google Workspace
  • Experience using CRM systems and maintaining database accuracy
  • Excellent organizational skills and meeting note documentation
  • Strong written and verbal communication skills
  • Ability to prioritize tasks and manage multiple responsibilities independently
  • Demonstrated proactive thinking and problem-solving
  • High level of professionalism, discretion, and confidentiality
  • Experience conducting phone-based follow-ups with agents or clients preferred
  • Quick learner who adapts to evolving environments

Side Note
This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
