Property Management Assistant

Schedule: Full-time (40 hours per week), Monday through Friday, 9am to 5pm EST

Job Description: You’ll be the central nervous system of a thriving property management operation, serving as the critical link between tenants, contractors, and property operations. This role puts you at the heart of real estate operations where your problem-solving skills and organizational expertise directly impact tenant satisfaction and business success. You’ll work directly with a physician-owner who values efficiency and reliability, giving you significant autonomy to manage day-to-day operations while building systems for long-term growth.

Responsibilities:

  • Answer and triage emergency tenant calls including leaks, lockouts, maintenance issues, and urgent repairs
  • Coordinate dispatch of appropriate contractors and workmen from established network for property maintenance
  • Maintain accurate accounting records for rental payments, expenses, and bill tracking across all properties
  • Prepare organized financial documentation for year-end tax preparation and accountant submission
  • Handle New York City Housing and Preservation Development (HPD) registrations and building department communications
  • Process violation notices and coordinate with legal team when required for compliance issues
  • Research and assist in hiring full-time maintenance staff and service providers
  • Support vacation rental operations in Hamptons and coordinate with marketing companies
  • Serve as primary communication hub between property owner and all service providers and tenants

Requirements:

  • Strong communication skills for handling tenant emergencies and contractor coordination under pressure
  • Basic bookkeeping experience and comfort with financial record-keeping systems
  • Ability to work independently and make sound decisions during emergency situations
  • Reliable internet connection and professional phone setup for remote emergency response
  • Bonus if you have property management, real estate, or facilities management experience
  • It helps if you’re familiar with New York City building regulations and compliance requirements
  • Bonus if you have experience with phone systems like RingCentral, JustCall, or Google Voice
