Administrative Assistant / Document Management Specialist

Schedule: Full-time (40 hours per week) Monday to Friday 9am to 5pm

Job Description: You’ll play a crucial role in maintaining organized financial records and vendor documentation for a company that’s transforming how transportation data gets processed. This position offers the opportunity to work independently while being part of a collaborative team that values attention to detail and systematic approaches. You’ll streamline document collection processes, ensure data accuracy across multiple vendor relationships, and make a meaningful impact on business operations in a stable, remote environment.

Responsibilities:

  • Log into client vendor portals using secure credentials to access transportation billing data and statements
  • Download and organize bills, statements, and documents based on established checklists and procedures
  • Upload organized files to designated Google Drive folders with proper categorization by provider
  • Conduct thorough audits by comparing newly downloaded documents against existing files to identify gaps
  • Monitor email channels for incoming vendor bills and statements, processing attachments efficiently
  • Flag missing documents and ensure complete documentation collection across all vendor accounts
  • Maintain accurate records and ensure all documentation follows proper organizational standards
  • Collaborate with team members during overlapping work hours to ensure workflow continuity

Requirements:

  • Strong attention to detail and ability to work independently with minimal supervision
  • Proficiency in English for clear communication and documentation
  • Experience with administrative tasks and systematic file organization
  • Comfortable navigating multiple software platforms and web-based portals
  • Ability to follow detailed checklists and standard operating procedures consistently
  • Willingness to complete SOC2 compliance training and maintain security protocols
  • Bonus if you have experience with Google Drive, Slack, or Asana
  • It helps if you’re familiar with transportation or logistics industry documentation
