Job Description:
You’ll serve as the strategic right hand to a startup founder, taking ownership of the behind-the-scenes operations that keep the business running smoothly. This isn’t your typical VA role – you’ll be improving processes, enhancing content, and thinking strategically about how to optimize workflows. You’ll manage the complete client journey from preparation to follow-up, create and edit marketing content, and ensure nothing falls through the cracks. The founder values independence and initiative, so you’ll have the freedom to take projects and make them better.
Schedule:

Full-time (40 hours per week); flexible between 5am and 5pm CST, ideally 7am to 3pm

Responsibilities:
- Manage CRM system (Dex) including contact updates, follow-ups, and relationship tracking
- Edit 30-second marketing videos using Riverside or Google Vids and transform them into polished content
- Create and schedule social media posts across Instagram and YouTube using ChatGPT for content optimization
- Develop and enhance sales decks and presentations using Google Slides
- Coordinate schedules, meetings, and client journey touchpoints from preparation to follow-up
- Track project deliverables and ensure timely completion across all initiatives
- Create marketing materials and one-pagers using Canva with strong visual design skills
- Build and maintain prospect lists while documenting and improving internal processes
- Provide strategic input on content improvement for sales materials, presentations, and website copy
- Handle contract-related administrative tasks and backend client setup
Requirements:
- 2-3 years of virtual assistant or administrative experience with proven independence
- Proficiency with CRM systems and contact management (experience with lightweight CRMs preferred)
- Video editing skills using tools like Riverside, Google Vids, or similar platforms
- Strong creative abilities with Canva for graphic design and visual content creation
- Experience with social media content creation, scheduling, and platform management
- Excellent written communication skills and familiarity with ChatGPT for content development
- Proficiency in Google Slides, Google Workspace, and presentation development
- Bonus if you have experience in startup environments or client service businesses
- It helps if you’re comfortable taking initiative to improve existing processes and content
- Experience with project management and deliverable tracking (Asana software is used by the client)
