Property Management Assistant

Job Description:

You’ll be the operational backbone for a thriving property management and construction business, where your administrative skills and bookkeeping expertise directly impact tenant satisfaction and project success. Client Overview:

A dynamic property management and construction company that builds apartment buildings and manages ongoing property portfolios. They handle everything from new construction projects to tenant relations, creating diverse and engaging work across multiple business lines. The company values efficiency and is actively growing their operations to better serve both construction clients and property tenants. 

Schedule:

  • Full-time (40 hours per week); Monday to Friday 9am to 6pm with one hour of unpaid break

  • Client Timezone: Atlantic Time (Nova Scotia, Canada)

Responsibilities:

  • Handle email communications and responses for property management and construction operations
  • Post bills and expenses in Dext (formerly Receipt Bank) with proper cost coding across different projects
  • Upload and manage warranty information for appliances and equipment into property management systems
  • Perform bank reconciliations and process rental income postings
  • Send follow-up communications to tenants regarding maintenance completion and status updates
  • Provide phone support and triage maintenance calls during coverage gaps
  • Coordinate with maintenance teams to verify work order completion
  • Manage administrative tasks across both construction and property management divisions
  • Support general operational activities for day-to-day business functions

Requirements:

  • Experience with basic bookkeeping and data entry processes
  • Strong communication skills for tenant and vendor interactions
  • Ability to work North American business hours with reliable internet connection
  • Experience with accounting software and email management systems
  • Detail-oriented approach to financial data entry and cost assignment
  • Bonus if you have property management or construction industry experience
  • It helps if you have customer service experience for phone support responsibilities

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
